Cleaning Your PM Box After You've Exceeded Your Allocated Limit

Introduction

It appears some of you have become frustrated with your private messaging (PM) system since the changeover to the new Eratosphere, finding a lot more messages than you imagined, beyond your allocated PM quota. Thus, the system automatically prevents receiving or composing new PMs, insisting that you first trim down the messages to a number below your allocated limit. What seems to be a PM overflow in the new Sphere stems from the old system shortcomings in displaying everything in the PM sections. Thus all the PMs sent, received or soft-deleted still lingered on. You could not see everything unless you changed to the appropriate message view.

This guide will help you trim down your PM and reclaim it for sending and receiving messages again. Here are the options available to you for achieving this:

  1. Download all PM messages to your PC and then, delete all those messages from the PM system.
  2. Selectively delete PM messages until you're below the limit
  3. Simply remove all PM messages without bothering to download or save anything.

A) Download all PM Message and then, delete all those messages from the PM system

  1. Follow the link sequence: Quick Links > Private Messages
  2. Scroll all the way down to the group of links labeled, "Download all Private Messages as:" (just below the lower message page numbers), and select the download format for your messages. For most of you, I'd recommend 'Text', unless you're an advanced computer user and know how to view 'XML' or 'CSV' formatted data, in which case you may choose the format that works best for you. When saving the file, be sure to note the directory and file name where you're saving it to facilitate subsequent access. The most common directory where the download might be located are the Desktop or Downloads directory.
  3. Once you're done with the download, and verified that you can locate the downloaded file on your PC, the next step is deleting all the messages as follows:
    1. Scroll back up past the message listings to the group of functions labeled "Folder Controls." Make sure the 'Inbox' is selected from the drop-down menu. Next to the statistics of messages stored versus allowed, you'll find a link labeled, "Empty Folder". Click on it. A confirmation page will open asking if you're sure. Confirm and all messages in your Inbox will be permanently deleted!
    2. Repeat i) above for the 'Sent Items' from the drop-down (i.e. instead of 'Inbox').
    3. You should now have an empty PM, ready to send and receive messages with no further problems. If you need to retrieve your old PMs, look for them in the file downloaded earlier in step 2) above and saved on your computer. That's it!

B) Selectively delete PM messages until you're below the limit

  1. Follow the link sequence: Quick Links > Private Messages
  2. You'll find a paged listing of all the messages in your Inbox. To the right of each listing is a checkbox. Look through the listings and click on the checkbox to select all the items you want deleted (note that an option is also available to download the selected messages to your PC before deleting them as explained later.)
  3. Once you're done selecting all the messages to be deleted (or downloaded and then deleted), scroll down to the drop-down menu just below the message listings. If you want to save the selected messages before deleting, select the "Download as Text" menu item to get the selected messages saved to your PC. Please refer back to A) 2. above for information on CSV or XML download options also available from the drop-down menu and, for notes on making sure you can locate the saved file later. After saving the file, use the same drop-down function to delete the selected messages from the 'Delete' sub-menu item. Note that you can skip the downloading of the messages to your computer if you're not interested in saving anything and simply go straight to the 'Delete' sub-menu item.
  4. If you have more than one page of message listings (visible from the paging function at the top or bottom of the message listings), click to go to the next page, and repeat step 3 above. If you're saving selected messages from this page as well, be sure to give it filename different from the one saved from the previous page listings so as to avoid overwriting what you saved earlier.
  5. Repeat 4. until for all the remaining pages of your Inbox.
  6. When you're done with the Inbox, choose the 'Sent Items' folder from the 'Message Controls' group of functions at the top and repeat steps 3 to 5 above as earlier described for 'Inbox', now applied to the 'Sent Items' folder.
  7. That's it -- you're done and your PM should now be free to receive and send new messages.

C) Simply remove all PM messages without bothering to download and save any of it.

  1. Follow the link sequence: Quick Links > Private Messages
